Every Appliance, On the Register.

Baselign helps PAT testing contractors keep asset-by-asset test records, schedule retests and give clients a clear register of what was tested, when and with what result.

Regulatory Context

What The Regulations Require

There is no UK law that requires portable appliance testing at a fixed interval. The Electricity at Work Regulations 1989 require employers and others in control of electrical equipment to keep it in a condition that prevents danger, and the Provision and Use of Work Equipment Regulations 1998 apply to work equipment more generally. The IET Code of Practice for In-Service Inspection and Testing of Electrical Equipment is widely used guidance on how to do this. It takes a risk-based approach: how often equipment is inspected and tested depends on the equipment type, how and where it is used, and its history, and formal visual inspection, user checks and combined inspection and testing may each play a part. Keeping a record of what was checked and the outcome is a common way of showing that the approach is being followed.

The Challenge

Where Compliance Breaks Down

The recurring pain points teams in this space run into without a single system of record.

Large asset lists

A single site can have hundreds of appliances, and keeping an accurate, current list across many clients is time-consuming.

Retest dates are tracked manually

Different equipment types and environments can justify different retest intervals, and tracking those by hand across clients makes it easy to miss a site.

Results end up in different places

Tester downloads, paper sheets and spreadsheets mean the register a client receives can differ from what was actually recorded on-site.

Clients ask for the register

Clients and their insurers often want to see what was tested, when, and what failed, without waiting for the contractor to compile a report.

How Baselign Helps

Everything You Need, In One Platform

From day-to-day job management through to compliance, training and billing.

Asset Management

Create asset types for appliance categories with custom fields such as equipment class, location and retest due date, plus photos, notes and a history of location changes.

Forms & Inspections

Build inspection and test record forms with required fields, pass/fail options, live fields that insert client and asset details, and photo capture for failures. Export submissions as PDF or CSV.

Work Orders

Schedule retest visits with recurring work orders on a fixed cycle, or after the previous visit is completed. Each new work order copies the client, site, forms and assets.

Client & Site Management

Keep multiple sites per client with GPS, site contacts and notes, so every test is tied to the right location.

Client Access

Clients get their own dashboard login to view completed work, download test record forms and export reports, with internal costs and notes kept hidden.

Team Documents & Training

Keep engineers' competence and training documents with an optional compliance flag and expiry date. A Compliant or Non-compliant badge shows where each one stands, and the team is notified when a document has expired.

AI Automation

Built to order for Enterprise teams: flags failed items and upcoming retests automatically, shaped around how you plan follow-up visits.

Client Billing

Built to order for Enterprise teams: turns completed test visits into invoices, priced per appliance or per visit to suit how you charge.

In Practice

A Typical Workflow

1

A work order is created for the site, with the appliance assets attached and a test record form assigned to the engineer.

2

The engineer records each appliance's inspection and test result on a phone or tablet, adding photos for failures, even offline.

3

The submitted records are exported as PDF or CSV to produce the client's test register, and any retest or repair visits are raised as new work orders.

4

The client views the completed work and downloads the records from their dashboard, and a recurring work order schedules the next cycle.
