Asbestos Records, Always to Hand.

Baselign gives asbestos surveyors, consultants and duty holders one organised record of every register entry, survey visit and re-inspection, so the information is there when contractors and clients need it.

Regulatory Context

What The Regulations Require

In Great Britain, the Control of Asbestos Regulations 2012 include a duty to manage asbestos in non-domestic premises (regulation 4). In broad terms, that means finding out whether asbestos-containing materials are present, keeping a record of where they are and their condition, assessing the risk, preparing a plan to manage it, and making the information available to people who may disturb it. HSE guidance such as HSG264 (Asbestos: The survey guide) and HSG227 (A comprehensive guide to managing asbestos in premises) explains what surveys and management arrangements typically involve. Laboratory analysis of samples stays with your accredited analysis provider, while Baselign keeps the surrounding records organised alongside the work. This is general information, not legal advice.

The Challenge

Where Compliance Breaks Down

The recurring pain points teams in this space run into without a single system of record.

Registers go out of date

An asbestos register kept in a spreadsheet or a PDF is hard to update after each visit, and it can be unclear which version is current.

Re-inspections depend on someone remembering

Management plans typically call for periodic checks of known materials, and keeping those visits on schedule across many sites is difficult without a central schedule.

Survey evidence is scattered

Photographs, sample references, floor plans and laboratory reports end up across inboxes and shared drives, so pulling a complete picture together for one location takes time.

Information needs to reach the right people

Duty holders and contractors need to be able to see where asbestos is known to be before work begins, and not rely on someone finding the right file in time.

How Baselign Helps

Everything You Need, In One Platform

From day-to-day job management through to compliance, training and billing.

Asset Management

Set up an asbestos register as an asset type with your own custom fields, such as location, material type and condition. Add photos, notes and documents, assign entries to the client and site, and see changes in the History tab.

Forms & Inspections

Build survey and re-inspection forms with required fields, photo capture, a location picker and signature fields. Live fields can insert client and asset details, and completed forms export as PDF or CSV.

Work Orders

Schedule survey and re-inspection visits as work orders, assign them to team members and attach the relevant assets and forms. Recurring work orders repeat on a fixed schedule or after the previous one is completed.

Client & Site Management

Hold multiple sites per client with GPS, site contacts, notes and documents, so access details and reports sit alongside each building's register.

Client Access

Duty holders get their own login to view their work orders and download completed forms and reports. Internal costs, notes and documents stay hidden from them.

Team Documents & Training

Record surveyor and engineer training documents with an optional compliance flag and expiry date. A badge shows Compliant or Non-compliant, and the team is notified when a document has expired.

AI Automation

Built to order for Enterprise teams: drafts summaries from survey findings and highlights registers with overdue reviews, shaped around your own reporting.

Client Billing

Built to order for Enterprise teams: links completed survey and re-inspection visits to client invoicing, shaped around how you charge.

In Practice

A Typical Workflow

1

Each building's asbestos register is held as assets, one per known material or location, with photos, notes and any laboratory report attached as a document.

2

A recurring work order schedules the re-inspection and assigns a surveyor, with the re-inspection form and the register entries attached.

3

On site, the surveyor completes the form on a phone or tablet, recording condition notes and photos for each entry, even where there is no signal.

4

Changes are saved in the asset history, and the completed form can be exported as PDF or CSV and viewed by the duty holder in the client portal.
